Changes to our Telephone Queuing System

In the past few months, we have been monitoring your feedback regarding our phone system, which we have taken on board, and we would like to thank you for this. We have been in contact with our telephony provider to look at the alternatives to make your phone contact with the surgery a better experience. In the coming weeks our call routing and message will change.
Currently you are experiencing a 2-queue system to allow for more callers to be held in a queue rather than hear an engaged tone when the lines are busy. The new system will now just be one queue and when you phone you will first hear our welcome message, followed by choices to best route your call. Once you have selected the appropriate option this is where you will then wait to be answered by one of the patient care coordinators. When you go through to your chosen option if the line is busy due to the high number of callers at that point, you will hear a message along the lines of ‘line is busy, please try again later’ you will then get an engaged tone and the line will cut off enabling you to call back later. Each line will have the ability to hold 65 callers, we have 3 options so it will be a total of 195 callers, please be aware our peak times are between 8.30am-10am and 4pm-5.30pm, so please avoid these times if you have a non – urgent enquiry.
You can also contact us using our e-consult service, which is switched on between 8am and 6pm Monday to Friday, and Patient Access, which are both accessible on our website and offer an alternative means of contact other than phoning or coming in, in person.
